Overview

Haynes Bros. Ltd, the largest and most trusted agricultural dealer in Southeast England, has proudly served the farming community for over two centuries. As a leading supplier of premium agricultural machinery, parts, and services, we are committed to delivering excellence and innovation across the industry.

Responsibilities

As an Agricultural Service Administrator, you will play a vital role in ensuring our service departments run smoothly, efficiently, and in full compliance with internal and manufacturer standards. You’ll be instrumental in managing warranty processes, invoicing, and supporting both administrative and technical teams across multiple depots. Key responsibilities will include:

  • Process warranty inputs and claims, meeting deadlines and ensuring accurate recordkeeping.
  • Coordinate part returns and warranty audits in line with company procedures.
  • Administer extended warranties for all supported brands.
  • Liaise with Service Managers on claims and unresolved issues.
  • Process and finalise invoices for retail, warranty, and internal work.
  • Generate weekly and monthly reports for senior leadership.
  • Collaborate with the accounts team to resolve coding and debt queries.
  • Oversee telematics system coordination to maintain service schedules.
  • Manage administrative tasks such as clock cards and holiday forms.
  • Support health and safety audits including PPE and vehicle checks.
  • Handle depot calls and queries in a professional and timely manner.
  • Travel to branches to assist with warranty or invoicing issues.
  • Assist in rolling out new technologies to improve workshop operations.

What we are looking for:

  • Proven experience in administration, ideally in a service or warranty role.
  • Proficiency with modern software systems and data management tools.
  • Excellent attention to detail and organisational skills.
  • Strong written and verbal communication skills.
  • A proactive, solutions-driven mindset.
  • Ability to manage multiple tasks and work independently.
  • Willingness to travel between branches as needed.

If you are passionate about providing exceptional service and thrive in an organised environment, we encourage you to apply for this exciting opportunity as a Service Administrator.
